Clinical Operations Coordinator
The Clinical Operations Coordinator is responsible for independently managing clinically relevant projects for the Clinical Operations team to ensure quality, compliance, and operational excellence.The main components of the position include: Clinical quality, operations, market performance, staffing/scheduling, relationship building/colleague engagement. The Clinical Operations Analyst functions to enhance clinical excellence in through execution of the functions listed below.Position Relationships:Reports to:• Directly: Manager, Clinical OperationsOther Major Relationships:• Will maintain good working relationships and actively collaborate with the Senior Clinical Operations Leadership, Operations Department, Director of Quality, Marketing, and various departments. Actively work in partnership with TCH clinics and supports colleagues in the market.Position Essential Functions:1. Clinical/Qualitya. Coordinates Grand Round preparation and execution; assists the Manager of Clinical Education with researching evidence-based articles for pre-reading, recording minutesb. Works with the Medical Executive Council materials posting & coordination of meetingsc. Creates and distributes of Medical Incident Reports using Contactual for the Director of Quality and Manager of Clinical Operationsd. Administrator for the Clinical Portal/Dashboard with the direction of the Senior Manager of Clinical Operationse. Conducts literature searches and research around standards of patient care to facilitate clinical guideline development; reviews and analyzes research relevant to Retail Clinic industryf. Develops presentations and assists in the publishing of articles for Senior Clinical Operations Leadershipg. Administers Medical Records Releases that pertain to legal mattersh. Responsible for managing the archiving of medical records and clinical data per HIPAA and Medical Records regulationsi. Develops and maintains forms and documents for the Clinical Operations team with the direction of the Manager of Clinical Operationsj. Partners with the Marketing department to ensure delivery of projects consistent with clinical operations.2. Operationsa. Recommends clinical content of supplies for Office and Medical SuppliesA. Is a member of the Supplies Committee to facilitate ordering of appropriate supplies for the clinicB. Communicates any updates or changes to supplies to the Clinical Leadership team and explains the impact at the clinical level of patient care.C. Develops and maintains content of Clinical Operations binders electronically3. Lead Conferences & Market Meetingsa. Coordination and creation of market meeting presentations and Lead Conferences for delivery to Regional Nurse Practitioners and Executive Team.4. Colleague Engagement & Best Practicesa. Coordinates NP/PA week divisionallyb. Manages New Grad twin letters and the New Grad Council listservec. Manages New Hire twin lettersd. Assists Senior Manager, Clinical Operations in facilitating the voice of the field colleagues in organizing membership of MC/NP-PA Council roster & listserves, executing minutes and agenda developmente. Manages NP Specialists ListPosition Qualifications:• Licensure requirements:o Valid Nursing State License issued by the State Board of Nursing.• Bachelor’s degrees in Nursing, Masters in Healthcare Administration preferred, or equivalent leadership experience• Minimum of 2 years clinical nursing experience• Adaptable and flexible during time constraints and changing schedules• Excellent verbal and written communication skills• Background in education, training, research, and customer service preferred• Excellent skills in Microsoft Office products, Word, Excel, Power Point and Outlook a must; technologically savvy• Ability to multi-task and strong attention to detail• Experience working in a multi-disciplinary environment and proven history of coordination between departments to execute projects• Ability to handle confidential information with integrity• Detail oriented and well organized• Ability to work independently and think critically in a new, unchartered clinical environmentWork Environment:The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job.
